Managing Attachment Types

Welcome to the Anthill Guide on attachment management.

If you have the appropriate admin permissions, you will see the ‘Admin’ link in the top-right of your screen in Anthill. Clicking this will present you with the admin options that are available to you.

Overview

Adding attachments to Anthill is a key part of most people’s workflow. To allow the easier management and visibility of attachments we have different attachment types. This is how attachments are grouped in the ‘Attachments’ tab on a customer or activity record.

Creating a New Attachment Type

From the Attachment Types option in the admin area, click Add New.

Enter the name for the Attachment Type. This value is only for internal use to use something meaningful for its intended purpose.

Click Save to save the new type.

Editing an Existing Attachment Type

From the table of existing attachment types, select the one you wish to edit.

Type the new name of the attachment type and click Save.

Restricted Areas

You can restrict who can select attachment types. This can be a handy way to reduce the list of available attachments a given user can see, making their options more relevant to their role.
From the table of types, select the one you wish to restrict. Click on the ‘Restricted Areas’ tab.

Using the arrows you can move Areas into the box on the right to restrict the type to this Area.

Speak to your CSM if you want guidance on which users are in which Area.

Restricted Types

You can also restrict Attachment Types to specific stages in the sales process, such as Enquiries, Leads or Sales. This is useful to ensure certain documents being attached at the correct time.

Using the arrow buttons, move the areas you wish to allow this attachment type on to the right:

Advanced Options

From the table of available attachment types, select the one you wish to edit. Click the Advanced tab – here you can specify what filetypes are allowed for this type. Click ‘Yes’ to specify file extensions, which will open up the ‘Permitted File Extensions’ field.

In this field you can specify what file types you wish to be allowed. This should be entered in the following format, with different file types separated with a semi-colon:

*.pdf;*.jpg;*.png

Archiving Attachment Types

Rather than deleting them, attachment types that are no-longer used/required can be Archived using the ‘Archive Attachment Type’ button at the bottom-left.

Important – archiving an attachment type will NOT remove any files already in the system. It will however, prevent new instances of the attachment type being added.
